Events Coordinator

Located in West Valley, UT

Full-time

Shift: Varies (Typical M-F 9am-5:30pm)

Position Description

SilencerCo is experiencing explosive growth and seeks to hire an Event Coordinator who has a gift for company event management. The ideal Coordinator is skilled at anticipating project needs, discerning work priorities, meeting deadlines with little supervision, and is willing to work occasional evenings and weekends. Under the general supervision of the Field Marketing Director, the Events Coordinator will be the go to person for all things pertaining to tier 3 events and equipment needs from the corporate facility located in West Valley City, UT.

Job Responsibilities

• Plan and manage a calendar of tier 3 events and anticipated requirements
• Be the primary point of contact for tier 3 events and ensure that all deliverables have been met
• Maintain all event equipment organization, storage and inventory and report on department needs and opportunities
• Coordinate and capture content at events and communicate with the marketing team on shot list and posting schedules
• Plan and document activities prior to and during events for internal and external communications
• Ensure each event meets SilencerCo's brand and quality requirements
• Conduct research, make site visits, and identify resources to help SilencerCo staff make decisions about event opportunities and possibilities
• Create and revise layouts for each event
• Assist with negotiations for locations and event space, food and beverage, supplies, equipment, signage
• Act as liaison with vendors for event-related matters
• Assist with on-site production and pack-out for events as necessary
• Prepare materials, packages, product/gift bags, attendee lists, etc. for the events department
• Work with the Marketing team to best leverage events and obtain the greatest ROI
• Track event finances including check requests, invoicing, and reports
• Assist with preparing budgets and provide reports to stakeholders for each event

Job Qualifications

• Strong understanding of the SilencerCo product line and their components
• Excellent communication skills, including writing, proofreading, and speaking
• Excellent organization and project management skills
• Ability to manage multiple projects and work assignments simultaneously
• Ability to execute projects with little supervision
• Outstanding customer service ethic with high expectations for quality
• Proficient with Asana, Google Docs, Google Sheets and Microsoft Office
• Exceptional organizational and multitasking skills
• Ability to Prioritize and Execute as a Leader
• Have exceptional attendance (be to work on time, and take breaks at allowed time)
• Strong critical thinking and problem-solving skills
• Ability to work with employees across all levels of the organization
• Meticulous attention to detail and ability to stay extremely organized in a fast-moving environment
• Ability to influence and adapt to change

• Self-motivated, proven ability to work independently

*Required*

• Ability to lift up to 60 lbs. regularly
• Availability to work nights, weekends, and overtime as needed
• Ability to stand for several hours at a time
• Frequent Travel Required: 30% +

• Event Equipment and Stock Management

• >75% completion of weekly inventory tracking
• Minimize equipment loss to <5%
• Swag requests shipped within 48hrs of initial request
• Giveaway adherence to budget within ±5% margin of error

• Event-Partner Deliverables

• Shot-list created with content team prior to each event
• At least 90% of shot list items delivered within 48 hours post-event
